PRIVACY NOTICE FOR INTERNATIONAL WOMEN’S DAY EVENT

Background

The purpose of this notice is to explain when and why we collected personal information about people who visit the International Women’s Day event website and register to attend. It covers how we will use your information, the conditions under which we may disclose it to others and how we keep it secure.

Data Controller

The Welsh Government is the Data Controller and Freshwater (FW) is the Data Processor for information submitted via the International Women’s Day event website, along with any information shared or recordings made during the associated event programme. FW are the contracted events agency of the Welsh Government’s Department for International Relations and Trade. They will not share your personal information with any organisation apart from us. They will hold it securely and retain it for the period we instruct. 

The lawful basis for collecting this information under Article 6 (public task) of the UK General Data Protection Regulations.

What do we do with your information?

Your information will be used for the following:

  • Registering you for the event and send joining instructions
  • Sending a reminder email prior to the event

Who do we share your information with?

  • Information will only be shared with the Welsh Government’s Equality, Inclusion and Human Rights team;
  • Information held by International Relations is only accessed by staff members within this division; and
  • Any information provided is stored on a protected area of IShare (Welsh Government’s internal document management system).

How long will we keep your information?

We will keep this information for a maximum of 5 years.

Your rights in relation to your information

You have the right to:

  • Access to the Personal data that we are processing about you;
  • require us to rectify inaccuracies in that data;
  • The right (in certain circumstances) to object to processing;
  • The right for your data to be ‘erased’ (where consent is the lawful basis);
  • lodge a complaint with the Information Commissioner’s Office (ICO) who is  our independent regulator for data protection.
